Facts verified against barbercosmo.ca.gov, September 2026. A cosmetology school is usually running three or four programs at once, each with its own cohorts, and every student’s file has to hold up at a Board inspection and a BPPE one.

The situation

Four programs and four places the records live

The sign-in sheet

Sign-in sheets and a time clock by the door. Somebody totals them later, program by program, and the esthetics cohort’s sheet is the one that goes missing.

The roster

One spreadsheet per program, or one tab per cohort. Who’s on leave and who withdrew depends on which tab you trust.

The grade book

Theory and practical grades kept per instructor. Whether a student is on track gets worked out by hand, usually close to graduation.

The filing cabinet

Enrollment agreements, fact sheets, disclosures and certificates on paper, in a drawer per year. A transcript request is an afternoon.

An applicant becomes a student without being retyped

Applications land in a pipeline per program. You review one, accept it, and that applicant becomes the student record, with a status that follows them through active, on leave, withdrawn and graduated.

Attendance

Marked once, per cohort, by the instructor in the room

Each cohort’s schedule generates its sessions. The instructor marks the roster with six codes: present, absent, tardy, make-up, holiday and leave. Every mark keeps who made it and when, and every earning code credits the session’s minutes to the student’s clock hours.

Clock hours

1,000 hours, counted from the attendance you already mark

Each session carries its scheduled minutes. Present credits them, tardy credits the actual minutes the instructor recorded, absent credits nothing. The student’s Hours tab shows the total against the 1,000 the Board requires for cosmetology, with hours credited from a prior school kept separately, and the hours certification for the Board’s Proof of Training prints from there once the program is done.

Documents

Transcripts and certificates come out of the record

Transcripts, certificates of completion and enrollment verification letters are built from the enrollments and grades you already hold. Everything you’ve ever issued stays in the list. A reissue supersedes, a void stays visible.

Signatures and the school file

Signed agreements attach to the student, not to an inbox

Enrollment agreements and disclosures go out for signature and come back on the right record. Your catalog, refund policy and School Performance Fact Sheet sit alongside, each with a version and an expiry date.

The Proof of Training

The numbers the Board’s form asks for, from the record

Clocked hours are the currency of a cosmetology school: the Proof of Training certifies them and the Board won’t seat a student for the exam without it. Since August 2024 that document is the Board’s own Form F-BBC-05: the student fills in their part, the school fills in the dates training started and finished, the hours at this school, any hours from another school and the total, and both sign under penalty of perjury. In Udooku those figures come from the attendance the instructor marks, so what goes on the form is what is on the record.

Printing the hours certification is a button on the student’s Hours tab, on the Compliance plan. It gets a number, stays in the issued list for good, and a reissue supersedes rather than replaces, so the figures you copied onto the Board’s form stay traceable. What isn’t there yet is a time clock: students don’t punch in and out. The instructor marks the session, with the actual minutes when they differ from the schedule.

Also not in Udooku: Title IV financial aid. If your school is accredited and disburses federal aid, the student record still works; the aid office keeps its own system.
